Inside Energy Bill Validation: A Day in the Life of Our Invoice Specialists

For most people, a utility invoice is something to pay and file. For a utility invoice validation specialist at Here’s The Plan, it is the start of an investigation. Do the rates match the contract? Are the readings, right? Has the same period already been billed? The job is to turn those questions into confidence that the charges are correct.

8:00am: Checking invoices against site, meter and contract

Our day starts with new electricity, gas and water invoices, alongside updates on outstanding queries. Before diving into individual charges, we organise the work: what needs checking, what needs more information and which supplier responses need attention.

The foundations matter. Matching the invoice to the correct site, meter and billing period helps establish what is being charged. From there, we can compare the bill with contract terms, meter readings and available consumption data. Published validation checks cover these basics as well as rates, taxes, overlapping invoices and the ever-changing third-party charges which are constantly billed or reconciled making up our customers’ bills.

9:30am: Why a correct total can still be an incorrect bill

A bill can add up correctly and still be wrong. Perhaps the arithmetic is sound, but the unit rate does not match the agreed contract. Perhaps a standing charge has been applied incorrectly, or the billing dates overlap with an earlier invoice.

This is where detail earns its place. Software-supported checks can flag potential discrepancies, while we use our expertise to investigate whether they really represent an error. The task is not simply to find something unusual; it is to establish whether the charge is justified. Bill validation combines automated checks with our experienced team.

11:00am: Investigating unusual consumption and estimated readings

Imagine an invoice showing an unexpected jump in consumption. It is tempting to call it a billing mistake straight away—but an unusual figure is a question, not a conclusion.

In this example, we check whether the reading is estimated or actual, compare the billed consumption with available usage data and asks for any missing information. The next step might be requesting an up-to-date meter reading rather than disputing the entire bill. Reviewing readings and consumption is a core part of energy and water bill validation.

The satisfying part is joining the dots: taking an unexplained number and building a clear, evidence-based explanation.

At here’s the plan we are always evolving our system or processes, so due to something we find we may do some key development to ensure a smooth and efficient service for our customers.

12:30pm: Raising supplier queries and recovering credits

In our example, another invoice reveals a rate that does not match the contract. Now we need to make the issue easy for the supplier to investigate identify the account and invoice, explain the mismatch and provide the supporting contract information.

Finding the problem is only part of the job. Validation services also involve raising supplier queries and following them through to resolution, including monitoring any credit or refund due. Query management connects the investigation to the outcome.

A well-written query is less about saying “this bill looks wrong” and more about showing exactly what needs checking.

2:00pm: Keeping clients and site contacts updated

In our afternoon, attention turns to updates. A site contact may need to supply a reading. A supplier may have replied but not yet answered the original query.

The challenge is translating detailed billing information into a useful message: what has been found, what remains uncertain and what happens next. Nobody should need to become a tariff expert just to understand the status of a bill.

3:30pm: Using validated billing data for budgeting and forecasting

The final stretch is about progress rather than just activity. In our day, we review a revised invoice against the original query, update the case notes and sets reminders for outstanding responses.

There is a bigger picture, too. Validated billing and consumption data can support budgeting, forecasting and energy management. Accurate invoices are not just an administrative endpoint; they help provide a more reliable starting point for financial decisions and reliable billing data supports wider planning for our customers to have certainty in this sometimes-volatile market.

More than checking numbers

By the end of the day, the most satisfying achievement might not be a dramatic discovery. It might be an unexplained charge clarified, a correction confirmed or a customer who finally understands what they have been billed for.

At here’s the plan we remain curious to the numbers and have the persistence to every follow-up to make sure the bill tells the right story.
